Registering a new Non Profit Organisation
online is quite convenient but can be a challenge if you dont have
the correct tools. To perform this task succesfully you will need
the following:
Equipment:
* a PC or a laptop: to type
the constitution MsWord format.
* a scanner to scan the
completed and signed registration form
* an internet connection to
complete the online for and upload files.
It would be advantage to have a PC that can
convert MsWord documents to PDF format. PDF documents are often
easier and quicker to upload to online forms.
The scanner should at least be an automatic
feeder scanner as it scans all pages of the registration form
into one single document.
Constitution and Clauses.
You can use the standard model
constituition issued by the Department of
Social Development as it contains all the 15 main compulsory
clauses. These clause need to be written in your constitution in
the same simple language as in that model constitution. Other
clauses are just optional.
Sections of the constitution need to be numbers from 01 on so
on.
Application for Registration - Form
You need to identify these 15 clauses clearly on the
NPO registration Form and specify on the form where
these 15 clauses appear in the constitution.
Registering on Line
Before connecting to the internet and SOCDEV website, Please
ensure that the following two files are ready on your PC.
1.NPO
Application for Registration:
- fully hand completed,
- reference to constition marked clearly in section 3 of the form
- signed by the chairperson on section 5.
2. The
Constitution
- signed by at least 3 members of the committee.
You may then proceen to registed the organisation on the SOCDEV
website, by following online instructions.

As
required by the Directorate for NPO's, every registered NPO must
report to the Directorate every year with in nine months of the
end of the financial year of the organisation.
Report to the Directorate is sent by completing the Narrative
Report form, on which the organistion narrates to the
Directorate of it activties and also to update information and
ammendments to the committee members.
Below are the requirement for reporting.
ACTIVE ORGANISATIONS THAT ARE GENERATING INCOME OR FUNDED:
A Narrative Report Form
(attached)
A Copy of Annual Financial Statements (prepared by an Accounting
Officer or an Auditor)
The online form will require that you load the following:
Narrative Report Form, Financial Statements, and Accounting
Officer's Report.
Please note that the accounting officer's report is inside the
Financial Statements. You may scan that report and load it
seperately.
ORGANISATION THAT ARE NOT ACTIVE AND NOT GENERATING INCOME:
A Narrative Report Form
An Affidavit confirming that the organisation has no income,
dormant or cannot afford the fees of the Accounting Officer,
also confirm that the organisation does not receive finding from
the state,
Add a Bank Statement if available.
The online form will require that you load the following:
Narrative Report Form, Affidavit, and Accounting Officer's
Report.
You may scan that report and load it seperately is an accounting
officer has prepared an engagement letter for you.
MANUAL NARRATIVE REPORTS.
You need to send a Narrative Report and supporting documents for
each year of report, In the case the organisation did not report
for three years, 3 narrative reports for each year need to be
submitted to the Directorate. |
